2025 ANNUAL CONGRESS SPONSORSHIP INFORMATION
Exhibit Hours (subject to change):
Exhibit tables will be located in Helix Hall, and will be open to attendees Thursday - Friday during the conference program. The listed times below are considered heavy traffic hours. Subject to change.
Set-up:
Thursday, November 6: 8:00 AM - 2:00 PM
Tear-down:
Friday, November 7: 4:00 PM - 6:00 PM
Thursday, November 6:
Break/Exhibits: 2:40 PM - 3:10 PM
Posters, Welcome Reception & Exhibits: 4:40 PM - 8:00 PM
Friday, November 7:
Break/Exhibits: 11:00 AM - 11:30 AM
Break/Exhibits: 3:30 PM - 4:00 PM
Exhibits Include:
- > (1)* Bare 6ft Table Top space - Linens will not be provided
- > (1)* Complimentary Meeting Registration
- > Acknowledgement of Sponsorship on the Registration Area Signage and Listing on the ASER Conference Website
- > Tables are first come first serve and are assigned by ASER-PM * unless otherwise specified
Shipping/Receiving:
The venue does not have a Fedex/UPS. All packages will need to be brought in and removed by the sponsoring company representative. Vendors are not permitted to send items in advance to the conference area or leave items to be shipped after the event ends.
We recommend shipments be made through your company representative's hotel.
Security:
Helix Hall is open to the public from 7:00 AM - 10:00 PM. A secure room will be available to store your materials overnight. As a reminder, the exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the venue's premises and will indemnify, defend, and hold harmless the venue, its owner, and its management company, as well as their respective agents, servants, and employees from any and all such losses, damages, and claims.
Required Venue Documentation:
Hold Harmless and COIs must be uploaded here prior to the start of the meeting.
Membership and Meeting Registration:
Each company is entitled to a specific number of Conference Registrations based on your sponsorship level. Conference registration codes must be applied by October 16. Please contact [email protected] if you have not received your group's code(s).
Promotions:
The conference program app will list ASER Perioperative Medicine 2025 sponsors as well as any corporate symposium session information. Please be sure an EPS file of your company logo is sent to [email protected] so that it may be included on the website.
ASER will send an email blast listing all of the corporate workshop events to conference attendees and will direct attendees to the website for detailed information two weeks prior to the meeting start date.
